Everything to know before your party — written plainly, so there are no surprises on the big day.
Bookings & payment
1.1 A booking is confirmed only when the required non-refundable deposit has been received and cleared. The deposit amount will be stated in your booking confirmation.
1.2 The remaining balance is due in full no later than 7 days before the event date (or as otherwise agreed in writing). Setup will not proceed if the balance remains unpaid.
1.3 Travel fees apply outside our standard service area and will be quoted at the time of booking. These fees form part of the total hire cost.
1.4 Prices are as quoted at the time of booking. Once the deposit is paid, the quoted price is fixed for that booking (subject to any agreed changes).
1.5 Bookings are for a standard 4-hour hire period. This period includes the time required for our team to set up (bump in) and pack down (bump out).
Cancellations, changes of mind & weather
2.1Change of mind: no refunds are given for cancellations or changes made because the Hirer has changed their mind. The deposit is non-refundable in all such cases. Any balance already paid may be retained or applied as a credit at our discretion.
2.2Wet or wild weather: soft play and especially inflatables (including bouncy castles and bubble houses) are weather-sensitive for safety reasons. If wet or wild weather makes the original plan unsafe or impractical, we will work with you to explore practical alternatives — for example, moving indoors if suitable space and access exist, delaying start times within reason, or adjusting the layout. Where all reasonable options have been exhausted and the booking cannot safely proceed, we will issue a 12-month credit equal to the amount paid (less any non-recoverable costs such as travel already incurred). Credits are subject to availability and must be used within 12 months of the original event date.
2.3 We reserve the right to cancel or refuse setup on the day if conditions are unsafe for children or for the equipment. In such cases the weather credit policy above applies.
2.4 All cancellation or reschedule requests must be made in writing (email is acceptable).
Delivery, setup & pack-down
3.1 Our team will deliver, set up and pack down the Equipment. Setup and pack-down are included in the 4-hour hire.
3.2 After setup is complete and any brief handover has occurred, our team leaves the site. We return at the agreed time for pack-down.
3.3 Under no circumstances may any piece of Equipment that has been set up be moved, rearranged, stacked, disassembled or otherwise altered by the Hirer, guests, venue staff or any other person. This includes soft play pieces, barriers, mats, inflatables, slides, tables and all other items. Moving items can create safety hazards and may void any insurance cover. If items are moved, the Hirer is fully responsible for any resulting injury, damage or additional costs.
3.4 The Hirer must ensure clear, safe access for our team and equipment (minimum access width as advised, level ground or floor, no obstacles, and suitable parking close to the setup area where possible). Failure to provide suitable access may result in the booking being unable to proceed, with no refund.
3.5 The site must be suitable — clean, flat, free of sharp objects, pet waste and other hazards — before our arrival. We reserve the right to refuse setup if the site is unsuitable; full payment remains due.
Supervision, safety & use of equipment
4.1 Adult supervision is required at all times. A responsible person aged 18 or over must supervise all children using the Equipment for the entire hire period. The Bubba Club does not provide supervision. The Hirer is solely responsible for the behaviour of children and guests and for ensuring safety rules are followed.
4.2 Equipment is suitable for a range of ages from toddlers through to teenagers, but different items have different age, size and capacity limits. The Hirer must ensure that only appropriate ages and numbers of children use each item, and that younger and older children are not mixed in ways that create risk.
4.3 Before using any soft play or inflatable equipment, children (and any adults entering the play area) must remove shoes, glasses, jewellery and any sharp or hard objects. Socks are recommended. No food, drinks, chewing gum, face paint, slime, confetti, streamers, silly string or other messy items are permitted on or immediately adjacent to the Equipment.
4.4 Rough play, climbing on barriers or non-play structures, somersaults, or any use contrary to the intended purpose of the Equipment is prohibited.
4.5 All persons use the Equipment at their own risk. The Hirer must communicate these rules to parents and guests.
4.6 Ball pit balls (if supplied) must be returned to the ball pit before our team arrives for pack-down. A charge may apply for significant numbers of missing balls.
4.7 The Equipment must be left in a reasonably clean condition. Excessive cleaning required due to food, face paint, mud or other soiling may incur a cleaning fee.
Inflatables, bubble houses & anchoring
This one matters most — it keeps little ones safe.
5.1 Inflatables (including bouncy castles and the bubble house / balloon dome) will be secured with heavy sandbags (or equivalent approved ballast) as required for safety. These anchors are essential to prevent movement or lift in wind.
5.2 Under no circumstances may the sandbags or any anchoring system be removed, loosened or moved — even temporarily for photographs, videos or aesthetic reasons. The safety of children is the absolute priority. We will do our utmost to position the sandbags as neatly and unobtrusively as possible, but they must remain in place for the entire hire period.
5.3 If any sandbag or anchor is removed by the Hirer, a guest or anyone else, the person who booked the party (the Hirer) accepts full responsibility for any resulting injury, damage, or incident. The Bubba Club accepts no liability in such circumstances.
5.4 Inflatables must not be used in strong winds, heavy rain or other unsafe conditions. If conditions become unsafe during the hire, the inflatable must be evacuated and the blower switched off (or left running only if advised by us for structural reasons).
Care of equipment, damage & loss
6.1 The Equipment remains the property of The Bubba Club at all times. The Hirer is responsible for the Equipment from the completion of setup until our team begins pack-down.
6.2 The Hirer is liable for the full cost of repair or replacement of any Equipment that is lost, stolen, damaged or excessively soiled during the hire period, except for fair wear and tear.
6.3 Any damage or issues must be reported to us as soon as practical.
Liability & indemnity
7.1 The Hirer accepts that use of soft play and inflatable equipment involves inherent risks. The Hirer is responsible for adequate supervision and for ensuring that safety rules are followed.
7.2 To the maximum extent permitted by law, The Bubba Club is not liable for any injury, loss or damage arising from the use of the Equipment where the Hirer has failed to provide proper supervision, has allowed the Equipment to be moved, has removed anchors, or has otherwise breached these Terms.
7.3 The Hirer agrees to indemnify The Bubba Club against any claims, losses, costs or expenses (including legal costs) arising from the Hirer’s breach of these Terms, inadequate supervision, or misuse of the Equipment.
7.4 Nothing in these Terms excludes, restricts or modifies any non-excludable rights under the Australian Consumer Law (including consumer guarantees). Where liability can be limited, it is limited to the maximum extent permitted by law.
7.5 We recommend that the Hirer holds appropriate public liability insurance for the event.
General
8.1 These Terms are governed by the laws of Queensland, Australia.
8.2 If any part of these Terms is found to be unenforceable, the remaining parts continue in full force.
8.3 By booking with The Bubba Club you confirm that you have read, understood and agree to these Terms and Conditions.
